Booking and Seating

Call our office to sign up for the trip(s) of your choice. No seat will be confirmed without a deposit which should be made within tens days after booking unless otherwise stated. If you are interested in a trip, let us know right away so that we will have some idea as to whether there is sufficient interest to make this trip a reality. Usually a trip has to be canceled six weeks prior to departure to avoid penalties from hotels, shows, etc. Knowing your interest early helps make that decision.

You may also use the seating chart for the bus (shown below) to place your seating request at the time that you book your trip. If you have difficulty with stairs, please notify us at this time.

Cancellation Policy

For trips that are three or more days in length – After making a deposit for a motor coach trip that is three or more days in length, you may cancel without penalty and receive a full refund of the deposit prior to making the final payment (typically six weeks prior to departure). After final payment has been made, cancellations are handled by filing a cancellation insurance claim under the trip insurance that is automatically included in the price of these trips.* Details concerning trip insurance can be found on our Travel Insurance page.

* If you do not wish to have cancellation insurance, let us know and we will deduct the insurance premium from the cost of the trip.

For trips that are one or two days in length – Trip insurance is not normally included for these short trips so cancellation is handled differently.* After making a deposit for a one or two day motor coach trip that is not covered by trip insurance, you may cancel without penalty and receive a full refund of all money paid prior to the final day to book the trip (typically six weeks prior to departure and always listed in the brochure or on the website). If you must cancel such a trip after the final booking date, we will try to resell your space. If your space can be sold, you will receive a full refund of the price paid. If we cannot sell your space, we will nevertheless refund all money paid with the exception of non-recoverable expenses incurred by Royal Tours & Travel, LLC.

*If a short trip is covered by trip insurance, that insurance shall be the sole source of any refund that might be available when a trip is canceled.

Cruises, Individual Group Travel, and trips involving special ticket purchases -Trips that are arranged through travel partners (cruises or Individual Group Travel, for example) are usually subject to their own cancellation policies and deadlines. We can provide details about the specific provisions for each trip and will normally post them in the brochure and on the website. Trips involving theater tickets or special events and attractions may have final payment/cancellation dates and provisions that are different from motor coach trips and are unique to each trip. Specific payment/cancellation information for these types of trips will be reflected in the write-ups on the website as well as in the brochure. As noted earlier, trips like this are likely to be covered by trip insurance which can cover these special conditions. Please contact us if you have questions.

Collette trips can be covered by Collette’s travel insurance. The cost of these trips normally includes this insurance and we highly recommend it. It is often possible to receive a full refund (minus the cost of the insurance) up until the day prior to departure without giving documentation for the cancellation. Complete details and conditions are provided in the Collette brochures for each trip.

Coach Information

Unless otherwise specified, all trips originate in Franklin, Virginia. Depending upon the route, certain stops can be made for additional pick-ups provided they are on the designated route.

Most of the time our motor coaches are equipped with WiFi and have tables in the back when space permits. Refrigerators or coolers are also on-board. Bottled water is provided aboard the motor coach each day. The group welcomes your goodies for snacks along the way!

Frequent stops will be made to allow people to make extended calls on their cell phones, to give people a chance to use the restroom, and to stretch their legs.

There will be no mandatory rotation of seats. If you prefer a particular seat, you may choose according to the order in which you make your deposit using the chart in the Booking section. The earlier the deposit, the better your choice of seats.

On overnight trips, no one can reserve the front seats on either side of the motor coach. The first seat on the driver side is for the Tour Director. The first seat on the door side is for those who wish to move there for short periods of time during the trip.

On one day trips you may reserve any seat on the motor coach except the one behind the driver which is for the Tour Director.

Receipts are not normally sent out for payment since bank and credit card statements reflect acknowledgement of payment.

Gratuities to our driver for one-day trips are included in the price of the trip. If you wish to give a personal tip, please feel free to do that on an individual basis. Gratuities for our driver on overnight trips are not included in the price of the tour. Such expressions of appreciation should be extended to the driver on a personal, voluntary basis. The gratuity – along with a note of thanks in an envelope – has been a tradition with Royal Tours for years and one that people seem to enjoy. We are certainly indebted to our drivers for providing us with safe travels, assisting us on and off the coach and handling all of our luggage.
